Your plane lands at Kraków Balice Airport. You already have a plan in your head: pick up the keys, throw your suitcases in the boot and head straight for the picturesque corners of the Małopolska region. It's a great scenario, and renting a car is its key element.
We want this first step to be as straightforward as possible for you – without confusion, hidden costs or unnecessary stress. That's why we've put together a short, practical guide that explains the two most important things people ask about most: the deposit and insurance. Once you understand how it all works, you'll feel confident and at ease.
First steps after landing: Car pick-up, step by step
Before we get to the financials, let's walk through the pick-up process itself. Good preparation is half the battle and ensures everything goes smoothly.
1. Documents
Have three things ready: your ID or passport, a valid driving licence, and a credit card issued in the name of the main driver. This matters – a debit card or a card belonging to someone else is usually not accepted for the deposit hold.
2. Getting to our office
Our office is located right next to the airport, which allows us to operate more efficiently and avoid the crowds inside the terminal. After collecting your luggage:
- Head to bus stop number 3 (marked as Kraków Airport 03 / Waiting area 3). You'll find it easily, just outside the arrivals hall on the left.
- Look out for our free shuttle with the YourRent logo. It will stop there to take you on a short, 2-minute ride to our office. If you want to make sure you don't miss it, you'll find a photo of it in your booking confirmation.
- If you have any questions, simply call the number provided in your reservation – we're here for you.
3. Vehicle inspection and handover protocol
After signing the agreement at our office, you'll receive the keys and the vehicle inspection report. This document notes all existing damage (scratches, dents). Take 3 minutes to walk around the car and check that the actual condition matches the document. If you notice anything new, report it to a staff member before you drive off. It's also a good idea to take a few photos or a short video – for your own peace of mind.
Deposit – what is it, and why you don't need to worry about it
The word "deposit" often causes concern. Completely unnecessarily. It's a standard procedure that protects the interests of both parties. Let us explain it simply.
- What is a deposit? It is not a fee. It is a specific amount that is temporarily held on your credit card for the duration of the rental. The money does not leave your account – only the available credit limit on your card is reduced by that amount.
- Why is it needed? The deposit is a security measure for the rental company in case the car is returned damaged, without fuel, or if you receive a traffic fine. Instead of going through complicated procedures, the company can simply deduct the relevant amount from the held funds.
- When do I get my money back? The hold is released automatically after the car is returned without any issues. Depending on your bank, the funds are typically available on your card again within a few business days.
How we do it at YourRent?
We treat the deposit as a standard security measure. If you return the car in the same condition you received it, releasing the hold is a pure formality for us. We work quickly and efficiently.
Insurance – what you should know to travel with peace of mind
This is the second key element worth understanding. When choosing your insurance, you're deciding on your peace of mind and level of financial responsibility.
- Basic package (with excess) - every car at a legally operating rental company must have basic third-party and comprehensive insurance. However, the standard rental price includes an option with a so-called excess (also known as a deductible). What does this mean? That in the event of causing an accident or damaging the car, your financial liability is limited to a certain, pre-determined amount (e.g. 2,000 PLN). The rental company will not charge you more than that, but you are responsible for damages up to that amount.
- Full package (with excess waiver) - this is an optional add-on we highly recommend for complete peace of mind. For a small daily surcharge, you can reduce your excess to zero. In practice, this means that in the event of vehicle damage, your financial liability is zero (or limited to a nominal amount). Whether it's a minor parking scratch or a more serious collision, you don't need to worry about the costs.
How we do it at YourRent? As a professional car rental at Balice Airport in Kraków, we give you a clear choice. You can opt for the basic package or add full protection. Our staff on-site always explain the differences so you can make an informed decision that best suits your needs.
Keys in hand – what's next?
With this knowledge, you're perfectly prepared. The entire rental process becomes simple and predictable. You know what documents you need, you understand what a deposit is, and you can make an informed choice about your level of insurance cover.
Now there's only one thing left to do: hit the road and enjoy everything the Małopolska region has to offer. Have a great journey!
